Bookings, Cancellations & Travel Insurance

  • Booking Requirements:
      • From June until Labor Day, a 7-night stay is required.
      • Fall and Spring offer 3+ night stays in many NEVR homes, with some homes available for winter rentals. Refer to individual home details for specifics.
  • Booking Process:
      • Use our user-friendly website to quickly make your reservation.
      • Guests must be at least 25 years old unless accompanied by a parent or guardian, with ID furnished upon request.
  • Contact Options:
  • Reservation Confirmation and Payment:
      • Reservations are provisional until accepted by property owners, with confirmation within 48 hours.
      • A 50% deposit is required over 60 days prior to arrival, along with any applicable fees.
      • Final balance payment is due 60 days before arrival, billed automatically to the authorized credit card on file.
      • We accept Visa, Mastercard, or American Express.
  • Tax Information:
      • MA local and state taxes apply, ranging from 12.45% to 17.45%, finalized at the time of stay.
      • Guests are responsible for any additional tax due if rate changes occur after reservation confirmation.
  • Flexible Cancellation Policy:
      • Confirmed reservations are non-refundable, with options available for consideration.
      • Options include utilizing the reservation for yourself, moving the reservation to a later date, or canceling with a partial refund up to 60 days before arrival.
  • Travel Insurance:
      • Travel insurance is offered through Rental Guardian and is highly recommended for peace of mind; learn more here.
      • Various insurance plans are available, offering coverage for medical, trip interruption, theft, and more.
        • Play Travel Protection – 7%
        • Play Travel Cancel for Any Reason – 10.8%
          • Excludes New York, New Hampshire, Washington and Puerto Rico
          • Must be purchased with 14 days of booking confirmation and cannot be sold 30 days or less before check in date.
          • This provides the most coverage and is highly recommended.

Check-In & Check-Out Procedures

  • Check-In:
      • Check-in time is after 4PM on your arrival date.
      • You will receive check-in information via email once final payment is received, approximately a week before your arrival.
      • Direct access to your home via keyless/lockbox entry; no need to visit our office for check-in.
      • Early entry before 4PM may incur a $375 fee without prior permission.
  • Check-Out:
      • Check-out time is by 10AM on your departure date.
      • Late departure may result in an additional day charge.
      • “Late check-out” option is available if space permits; inquire with your NEVR representative for rates.
  • Damage to the Rental Home:
      • Accidental damage waiver included upon booking covers damages up to $1,500.
      • Guests must report damages or accidents upon arrival or during their stay.
      • Unreported damages will result in charges billed to the guest’s credit card.
  • Items Left Behind:
      • New England Vacation Rentals is not responsible for lost or stolen items during the guest’s stay.
      • Guests can request to have forgotten items mailed to them within 20 days of departure by providing a prepaid self-addressed package.
      • Items are stored in our “Lost and Found” at our Chatham office.

Cleaning Standards & Procedures:

  • NEVR Cleaning Standards and Procedures:
      • Each home has its own independent cleaner employed by the owner, with contact information provided at the property.
      • Expanded cleaning guidelines implemented under the direction of VRHP, VRMA, and CDC to ensure guest safety and health.
      • High-touch surfaces sanitized with EPA-approved products.
      • Guests advised to rewash dishware for added cleanliness.
  • Cleaning Issue Resolution:
      • If you encounter any cleaning issues within 24 hours of arrival, our cleaners will promptly address them at no additional cost. Your satisfaction with your Cape Cod Vacation Rental Home is paramount to us at NEVR. However, we can only assist if we’re informed of any concerns, so please don’t hesitate to reach out.
  • Departure Cleaning:
      • Departure cleaning is included in your reservation.
      • A simple check-out list must be followed by all guests, including trash removal and personal belongings.
      • Interim cleaning required for stays longer than 2 weeks, at guest’s expense.
      • Avoid moving furniture within the property to prevent damage; if necessary, return items to their original location.
      • Upon check-out, cleaners ensure the property is left in proper order and free from damage.
      • Additional cleaning charges may apply if extra cleaning is necessary.

Property Maintenance & Repairs

Maintenance Support

  • Entry into the vacation home may be necessary for repairs or maintenance, but efforts are made to minimize disruptions.
  • Guests should report any difficulties during their stay to New England Vacation Rentals for prompt resolution.
  • No refunds or rebates are provided for mechanical failures, unfavorable weather, or maintenance issues.

Home Details & Amenities

  • Property Listings & Agreements
      • Each property listing on our website provides comprehensive information and photos.
      • Guests should confirm all details at the time of reservation.
      • Rental agreements are between the owner and the guest, with New England Vacation Rentals acting as a representative for the owner.
      • Homes are equipped for normal housekeeping, with fully stocked kitchens in each.
      • Specific amenities vary by property, so guests are encouraged to review individual listings.
      • While beach chairs may be available, their quantity and condition cannot be guaranteed. Bringing personal beach essentials is recommended.
  • Linens
      • Guests can bring their own linens or rent them through our linen rental service during the reservation process.
      • Linens include bed sheets, kitchen, bath, beach towels, dish towels, and bath mats.
      • Blankets, pillows, and other furnishings are provided, but New England Vacation Rentals assumes no responsibility for their condition or quality.

  • TV and Phone Services:
      • Most properties offer cable and/or satellite TV or Smart TVs for streaming services. Please refer to individual property descriptions for details.
      • Many homes no longer have landlines, or if they do, they may have long-distance blocks and pay-per-view blocks.
      • Guests are responsible for making all long-distance calls collect, by credit card, or charge to a third number. Unauthorized phone charges or movie purchases will be billed to the guest’s credit card.
      • Cell phone signal strength is generally good in the area, but guests should verify with their service provider.
  • Wi-Fi Internet Access:
      • All properties offer free internet access, though connections are not guaranteed.
      • No refunds are provided for internet access issues.
      • Additional charges may apply for technical support unrelated to the property’s internet access.
  • Hot Tub and Pool Policies:
      • Use of pools and hot tubs is at the guest’s risk, and guests hold New England Vacation Rentals and the homeowner harmless for any injuries.
      • Guests are responsible for any damage to equipment, spa covers, or surfaces.
      • Refilling the pool or spa due to guest neglect incurs a fee of $300-$500, billed to the guest’s credit card.
      • Specific policies regarding age limits, usage rules, and safety precautions are outlined for pools and hot tubs.
  • Fireplaces, Fire-Pit Use, and Safety:
      • Fireplaces require owner approval for use, as specified in individual property descriptions.
      • Guests are responsible for using fire pits carefully and at their own risk. Any damages caused will be billed to the guest’s credit card.
      • Detailed instructions for extinguishing fires and safety precautions are provided for both wood and gas fire pits.
      • Gas fire pit users must ensure the gas is turned off, and New England Vacation Rentals is not responsible for refilling propane tanks.
  • Grill Usage:
      • Grills are available at some properties, with details provided in individual property descriptions.
      • New England Vacation Rentals assumes no responsibility for grill type or condition.
      • Guests are responsible for cleaning the grill and disposing of ashes before checkout.

Miscellaneous Policies & Information:

  • Accuracy Disclaimer: While efforts are made to provide accurate information, New England Vacation Rentals cannot be held responsible for errors or changes made by owners.
  • Occupancy Limits: Properties have occupancy limits, as stated in property details and guest confirmations. Overcrowding or misrepresentation may result in immediate eviction.
  • Age Requirement: Guests must be at least 25 years old, and IDs may be requested. Misrepresentation of age or group status may lead to immediate eviction without a refund.
  • Electric Cars and Charging: Charging electric cars at vacation rental homes is discouraged. Numerous charge stations are available throughout the Cape.
  • Parking Info: Tents, trailers, and recreational vehicles are not permitted on the property. Parking must be in designated spaces, and parking on the lawn is prohibited.
  • Smoking and Pet Policies: Smoking and pets are not allowed inside or outside the premises, with strict penalties for violations. Only designated pet-friendly homes accept dogs, subject to additional fees and regulations.
  • Locked Owners Closets: Locked owners’ closets contain the owner’s personal property. Please respect these locked areas as they are not included as part of your rental.

Weather Conditions and Area Construction

  • New England Vacation Rentals is not responsible for weather conditions or issues such as water, electricity, heat, or air conditioning disruptions, including other “Acts of God” circumstances. Guests will not be offered compensation or refunds.
  • We cannot predict construction plans in the area and thus cannot be held responsible for any construction near our properties. Compensation or relocation to other properties will not be considered.

Beaches, Ponds, and Other Local Attractions

  • We are not responsible for any factors affecting the use, closures, or operations of local area attractions.

Reserve for Next Year

  • We love our repeat guests! Contact us to book directly with us and save when you secure your preferred property for next year.
  • Due to the popularity of our Cape Cod homes, we do not hold properties.
