Terms and Conditions – by booking a reservation with New England Vacation Rentals you acknowledge and agree to the following policies.
All reservations are provisional until accepted by our property owners. We must confirm all reservations with our property owners first, we will notify you with in 48 hours of acceptance of your reservation. Upon confirmation acceptance of your reservation a confirmation with payment details will be sent to you by email.
We will do our best to accommodate you in your reservation. However, if due to circumstances beyond our control, a reserved accommodation becomes unavailable or uninhabitable, substitute accommodations (same value-if available) will be offered. If you decline our offer for a substitution of a home at same rate value, then a full refund of funds paid to date will be given to guest.
***Our Reservations are Non Refundable. Your account will be charged for the total price shown, regardless of whether the reservation is used. Travel Protection Coverage is highly recommended but is optional.
Payment For your Reservation
A reservation can be confirmed with a 50% deposit plus any other applicable fees such as a $175 processing fee. Your reservation will be canceled without notice if this is not received. We accept MasterCard or Visa. We do not accept American Express or Discover.
The final balance payment is due 60 days prior to your arrival. MasterCard and Visa are accepted. Upon the 60 days of arrival–Your final payment will be billed automatically to your credit card on file, unless you inform us otherwise. Any payments not made within 60 days of arrival will result in a forfeit of your reservation.
Reservations made within 60 days of your arrival date require full payment. There is also a $25 late fee for payments, which are later than 60 days upon arrival.
Upon receipt of your final payment and a week prior to your arrival date, you will be emailed key information, directions to property and area information. This information is also available on our free mobile app.
Check-In and Check-Out Procedures: Check in 3-5PM on Arrival Date By 10am on Departure Date
Your home will be ready at 3PM on your arrival day. We will email you with your check in information once your final payment is received and about a week prior to your arrival. This information can also be found on our Cape Cod/NE Vacation Rentals Visitor Guide Mobile App.
Check in is between 3PM-5PM. You must contact us if you will be late so we may prepare for a “late arrival”. Please do not try to enter your home before this time as this interferes with our cleaning and inspection process. If you try to enter early we can not be sure what you will be walking into and your home may not be properly serviced.
Check out time is by 10AM on your departure date. A late departure will result in an extra “day” charge to your credit card. You do have the option to add a “late check-out” stay if available to your reservation. Ask your New England Vacation Rentals Representative for additional rate information. There is a $25 charge for a late key return and/or a lost key.

Your reservation with New England Vacation Rentals is final and is non-refundable. Your account will be charged for the total price shown, regardless of whether the reservation is used.
Please consider purchasing Trip Cancelation Insurance through Rental Guardian. This offers great peace of mind for a small additional cost. There are no early check out reimbursements. You are responsible for full payment of your reservation-should you opt out of trip cancelation insurance. If you wish to switch dates in the same calendar period for the same house–we are happy to do so if there is an open week available at no additional charge.

Booking on a 3rd Party On Line Advertising Website
If a home is booked through an on line advertising platform other than New England Vacation Rentals website (such as Homeaway, VRBO, AirBnB, etc)– you will pay an additional travelers fee to them. Reminder: Your reservation with New England Vacation Rentals is final and is non-refundable. Your account will be charged for the total price shown, regardless of whether the reservation is used.
Damage To The Rental Home
All rental homes are checked upon departure by our cleaning staff and inspectors. Guest agrees to notify New England Vacation Rentals (NEVR) as to any damages or accidents that occur to the premises, to both real property and personal property upon arrival and at anytime during your stay. Please report any damages to our office so we may Assess, Repair or Replace items. Any damage or accident not reported –repairs/replacements will be the responsibility of the guest and charges would be billed to your credit card.
We do not charge a departure cleaning fee. Our homes are cleaned between departures. We have a small check out list for you to follow upon departure. If you are running short on time or do not want to complete this list, we are happy to have our cleaners take care of this check out list for you for an additional cleaning charge (an extra $100-300+ charge –depending on condition of home) that will be billed to your credit card. Additional cleaning is available by request for an additional fee to the Guest. If you stay more than 2 weeks an interim clean is required , more than 4 weeks – 2 interims cleans are required- more than 6 weeks- 3 interim cleans are required. The interim cleans are at the guests expense and are to be paid by the guest directly to the cleaner.
Please do not move furniture with in the property-this can cause scratches to wood floors, walls get dinged etc. If you do have to move something please be careful and be sure to return to original location. If we have to send our maintenance team to move furniture back- we will bill the Guest Credit Card on file a $75 charge.
Once you have checked out, our Cleaners will ensure that the property has been left in proper order according to check out procedures and damage free.
Cape Cod Summer Temperatures, Bugs and Humidity
During peak summer, it can get very hot and humid on Cape Cod. Most of our rental homes offer either Central Air, Split A/C’s or Individual window A/C units to help keep you cool (check under each individual property listing details). Some of our earliest recollection of Cape Cod is when we open the door for the first time and get that “Cape Cod scent” –while in reality, that’s the musty smell of a closed up home. This is especially the case with homes that do NOT have Central Air Conditioning. Opening windows to air out the house and a good can of Air Freshener can alleviate this condition.
Mold does exist on Cape Cod so if you have a particular condition that may be affected by this—we strongly recommend you book a home with Central Air Conditioning**. Note that even Central A/C can NOT prevent mold.
The hot temperatures and humidity can cause all kinds of “pesky creatures” to come out during the summer. While our homes do have pest control-we still get all kinds of pests. This includes mice, spiders and spider webs, gypsy moths, ants, flies, wood roaches, bugs, etc. Pest control can slow it down but it can not stop the natural lives of these creatures. It should be noted that “well water” is common on Cape Cod in case you or a group member has any allergies. Please take precaution if needed. We are not responsible for any of these circumstances. Guest will not be offered any compensation or refund.
During business hours please call our office to arrange a new key for a charge of $15. There is a $25 charge for a or a lost key. After 5PM –call 508-432-0900 and press 0—There will be a $75 emergency lock out fee that will be billed to your credit card.
It may be necessary for us to enter the vacation home during reasonable hours for any purpose connected with the repair, care, or management of the property. If this is necessary, we will make every effort not to disrupt your vacation. Every effort is made to keep each property and its equipment in good working order.
Please notify New England Vacation Rentals, Inc. of any difficulty you incur during your stay so repairs can be made. We will make every effort to eliminate any problems or have repairs made as soon as possible. If you would rather not be bothered just let us know and we will take care of the issue upon your departure. Some service people may not be available immediately. We cannot guarantee appliances, TV’s, air conditioners, fireplaces, pools, hot tubs, etc. No refunds or rebates will be made for mechanical failures or malfunctions, unfavorable weather, early departure, interruption of utilities, maintenance problems, or construction in the area.
Items Left Behind
New England Vacation Rentals is not responsible for articles lost or stolen during guest stay or upon departure. We are happy to mail any items that you forgot during your holiday. All items found are stored in our “Lost and Found” for 20 days. Any item that you want us to ship to you that we have—will be billed to your credit card on file for postage plus a $25 handling fee.
Home Details on our Website
We believe our website provides a good overview of each property with information and many photos. Our homes are individually owned and therefore reflect the tastes of each owner. We have provided amenity, photos and bed information for each home under property details. Please confirm all information at the time your reservation is made.
While every effort is made to ensure the accuracy of information contained herein with regard to bed sizes and home amenities, it is not warranted and may be changed, or replaced with a similar item in the household. Please note that although individual needs and tastes vary, we will be unable to make other arrangements when you arrive should you decide not to stay at your confirmed rental home.
Each booked reservation is between the Owner of the property and the Guest. Each rental property and the included furnishings are privately owned. A booked reservation is an acknowledgement between the Owner and the Guest. The reservation is limited to the stated occupancy. New England Vacation Rentals, Inc. is acting solely as a Representative for the Owner. Should a rental dispute arise, New England Vacation Rentals, Inc will file an Interpleader with a court of competent jurisdiction for determination of deposit.
Guests are solely responsible for any property damage, accident injury to any person or loss sustained by any person, including loss of money, jewelry, and other items of personal property, arising out of or in any way related to Guests use of the premises or the items of personal property. Guests shall inspect and be familiar with proper use and application of such items prior to using them. Guests assume the risk of injury or other losses relating to any recreational activities and will hold owner and its agents harmless with respect thereto.
Guests hereby agree to INDEMNIFY New England Vacation Rentals, Inc, its employees, subcontractors and the Owner harmless from any and all claims including those of third parties, arising out of or in any way related to Guests use of premises or the items of personal property provided therein. Owners and Guests hereby agree to INDEMNIFY NEW ENGLAND VACATION RENTALS, INC., its owners and employees and hold them harmless from any disagreements, claims or actions arising in any way of the Owners or Guests failing to uphold the stipulations and requirements of this use license or for any act of God or unforeseen action or circumstance including weather which may result in a nullification of this agreement.
Our rental confirmation also constitutes a Waiver and Release of Liability, whereby the Guest agrees to release, discharge, hold harmless, defend and indemnify New England Vacation Rentals and its owners, agents, officers and employees from any and all claims, actions or losses for bodily injury, property damage, wrongful death, loss of services or otherwise which may arise out of Guest’s use of any recreational equipment provided by the home including: Kayak, Boats, Paddle boards, Bicycles, Canoes, Floats, Pools, Hot Tubs, Fir Pits etc. The Guest acknowledges he/she specifically understands he/she (Guest) is releasing, discharging and waiving any claims or actions that he/she may have at the present time, or in the future, for the negligent acts, omissions or other conduct by the owners, agents, officers or employees of New England Vacation Rentals and the owners of the stated home.
Home Set Up and Amenities
All of our homes are equipped for normal housekeeping. Each home has a fully equipped kitchen with all cookware and dishes. Most homes have either a charcoal grill or gas grill but check your home details. We recommend that you check each home info listing on our website to see specific amenities. Upon arrival, we suggest you go to the home first and see what is there and then you can always shop for what you need. We have excellent grocery stores and many discount places that sell almost anything you need. About a week prior to arrival you will be emailed a wonderful “What to Pack List” that covers basically everything.
Beach chairs are often available at our homes, however we do not advertise them because we cannot guarantee the quantity or the shape they will be in – people do leave them behind from time to time so there may be some for your use–again we cannot guarantee this. If your are driving to the Cape always best to put a couple in your car- If not, There are many stores in the area such as the Grocerie Stores, Christmas Tree Shops, Ocean State Job Lot, CVS etc that sell them very inexpensively. Bringing a Beach Blanket is recommended as well.
Linens (Bed Sheets and Kitchen, Bath, Beach towels and Bath Mats) are not included in Cape Cod unless stated for individual property. We do offer optional linen service for a fee for our Cape Cod homes through our Linen Rental Services. Please contact our office for linen rental information.
All beds will have bedspreads, blankets and pillows. Furnishings, appliances, kitchen supplies, deck and beach furniture are provided by owners and New England Vacation Rentals, Inc. takes no responsibility for the overall condition, quality or number of each.
Phones and Cable/Satellite TV
Most of our properties are equipped with cable and/or satellite TV. Please check the individual property descriptions for these amenities. With the popularity of cell phones, many of our homes no longer have land lines. And if they have a land line they may have a “long distance block” and Cable/Satellite TV have “pay per view blocks”. Guests agree to make all long distance calls collect, by credit card or charge to a third number. The purchase of Pay Per View movies and events is not permitted. Any unauthorized phone charges or movie purchases will be billed to your credit card. Most cell services have very good signal in the area. Check with your cell provider.
Many of our homes offer Flat Screen TV’s and many are “smart TV’s”. The cable provider here on the Cape is either Comcast, Verizon or Direct TV/Dish Network. If you have a cable account for your own home with any of these providers and your account includes premium channels such as HBO and Netflix you can use these at your vacation rental home by downloading the app and using your own log in info. The app will direct you on how to download. We remind you that this is only for Smart TV’s. This can be a nice convenience for our vacation rental homes that do NOT offer these premium channels.
All of our properties offer Internet access. Internet connections are not guaranteed. No refunds will be given for Internet access problems. Additional charges may apply for Internet technical support due to issues not related to the property’s internet access, including but not limited to guest computer errors in configuration.

Fire Pit Safety
It is your responsibility to use very carefully. Any damages caused by use of fire pit for any reason (even wind) will be billed to your credit card. Check individual property descriptions for this amenity. To ensure fire is out: Pour water from your bucket up and down the length of the fire, then side to side. Hold the water several feet over the fire to avoid getting burned by steam rising out of the fire pit. Thoroughly cover all the wood and embers until the fire stops smoking and sizzling. Use a shovel or stick to move the wood around. Be sure that all sides of the wood are covered with water. Scrape any embers off the remaining wood and soak them. Stir the mixture of water and wood. Lift up the rocks of your fire pit and look for embers between and under them. Thoroughly soak those with water, too. Before leaving, check the entire fire pit to make sure there is no heat being generated. The fire pit and wood that remains should be cool and damp.
For Gas Fire Pits: It is your responsibility to make sure the gas it turned off. New England Vacation Rentals is NOT responsible for refilling empty propane tanks. Your check in instructions will include places where you can exchange a propane tank if desired.
Grills are available for your use. Please check the individual property descriptions for this amenity. New England Vacation Rentals, Inc. takes no responsibility for the type or condition of a grill at a particular property. Some grills are charcoal, others propane. New England Vacation Rentals is NOT responsible for either providing charcoal or refilling empty propane tanks. Your check in instructions will include places where you can exchange a propane tank if desired. Please be sure you clean the grill and empty the ashes prior to check out.
Every effort is made to ensure all information provided by New England Vacation Rentals is accurate and complete. However, New England Vacation Rental Inc. cannot be held responsible for typographical errors, omissions, price changes, and, but not limited to, changes made by owners in furnishings, equipment, bed arrangements, owners changing their listings, or views offered by the property changing after printing or publishing to the internet. Etc.
Note that this is a short term vacation rental home. The rental is limited to residential, recreational, vacation use only.
Total occupancy in properties may not exceed the maximum number of occupants allowed as shown under property details and guest confirmation. Children, including babies of all ages, are counted. Children, including babies of all ages, are counted. OVERCROWDING OR MISREPRESENTATION IS GROUNDS FOR IMMEDIATE EVICTION WITHOUT REFUND. Only the names and number of persons specified on the confirmation will be permitted to use accommodations. No more than 6 persons beyond the occupancy limit allowed at the premises on a daily basis without the expressed written authorization of the owner/NE Vacation Rentals.
Absolutely no house parties are permitted. An ID must be furnished upon request. We will not rent to vacationing students or singles under 25 years of age. We rent homes without respect to the race, color, religion, sex, national origin, handicap or familial status of any party. Any misrepresentation of a group or any violation of any of the above is grounds for immediate eviction with out any REFUND.
Guest and all members of Guest’s party must be sufficiently quiet as to not disturb other guests or property owners. Quiet hours (10:00 p.m. to 7:00 a.m.) are strictly enforced by area security.
Tents, trailers and Recreation vehicles are not allowed permitted on the property. Many areas do not allow three wheel vehicles or motorcycles. Please check with the town you are vacationing in prior to your arrival. Absolutely no fireworks allowed on property.
Parking of Guest Cars are only permitted in designated parking spaces. Maximum number of parking spaces is under individual property details. No Parking on the lawn at anytime– as there are sensitive irrigation and septic systems that can could be damaged. Guest may be charged is this policy is not followed and there is damage to yard, sprinklers or septic system.
All properties represented by New England Vacation Rentals, Inc. are Non Smoking inside and on outside premises. Failure to abide by our No Smoking policy will result in a $1,000 penalty that will be billed to your credit card and there will be immediate eviction with out refund.
Pets are only permitted in homes designated on our website as Pet Friendly. **Pet Friendly refers to “Dogs Only”. All Pets must be registered. We can make no guarantee for an allergan-free home or that the owner of a home may have a pet. A pet policy addendum (terms and conditions) will be sent with our check in information. Pet Damage is the Sole Responsibility of the Guest.
PETS FOUND IN PROPERTIES NOT ALLOWING PETS (either your own or a visitor) IS GROUNDS FOR IMMEDIATE EVICTION WITH OUT REFUND and your credit card will be billed a $1,000 Penalty.
Locked Owners Closets
Contain owner’s personal property. Please respect these locked closets, cabinets or rooms. They are NOT INCLUDED as part of your rental.
Weather Conditions and Area Construction
We are not responsible for weather conditions or issues which may include absence of water, electricity, heat, or air conditioning and any other “Acts of God” circumstances. Guest will not be offered any compensation or refund.
Utility service outages should be reported to the NStar/Eversource at 1800-595-2000 immediately and all efforts will be made to have them restored as soon as possible. New England Vacation Rentals Inc. cannot predict construction plan in the area and therefore cannot be responsible for any construction that may be occurring near one of our properties. No compensation or moves to other properties will be considered.
Beaches, Ponds, and OTHER local attractions
We are not responsible for anything that may affect the use, closings or actions of any of these local area attractions.
Reserve for Next Year
We love to have our guests book with us again. Due to the popularity of our Cape Cod Homes–We do not “Hold” properties. Upon Check out you will be offered a chance to reserve your vacation property/week for the following season. A 50% deposit is required at time of your reservation renewal.
